How to price a paving job: a contractor’s estimating workflow

Price a paving job by defining the scope, calculating quantities, adding all costs and then applying your chosen pricing method. A square-metre rate can help compare completed estimates, but it should not conceal the work that makes one site more expensive than another.

Define the job before the rate

Confirm the measured area, material system, excavation, disposal, edging, drainage and access arrangements. Separate known work from unresolved conditions. A low price based on a missing task is not an efficient estimate; it is an incomplete one.

For materials, use the actual supplier unit and check whether delivery is included. For labour, break the work into tasks and allow for the crew needed to perform them. Include setup, handling and cleanup where they form part of your work.

Build a cost schedule

These invented amounts demonstrate the method. They are not market rates or a suggested price for a particular driveway. Replace every line with your own checked quantities and costs.

Choose markup or gross margin deliberately

Using the example £3,000 cost basis, a 25% markup gives £3,750 before tax. A 25% gross margin gives £4,000 before tax. These are different calculations, so decide which target you mean before entering the percentage. Read the worked markup and margin comparison for the formulas.

Check the applicable tax treatment and show the customer total clearly. The arithmetic does not decide your tax obligations. Keep the underlying rate basis consistent so you do not count tax in both your cost inputs and the final tax calculation unintentionally.

Review the price as a complete job

Divide the total by the measured area if you want a comparison figure, but retain the full schedule. A small job may carry delivery and setup costs over fewer square metres. Restricted access, extensive cuts and drainage work can change the price even when the headline area is identical.
